Job Description

Responsible for providing administrative and clerical support to the Sr. Vice President/ CIO.  Duties are complex in nature, and may involve access to confidential information.  Serves also as a support to other senior leaders within the area by effectively managing the department in an organized fashion.  In addition, acts as a liaison to all internal and external contacts in a manner that promotes the professional image of the Company. 

Primary Responsibilities

  • Efficiently performs administrative and secretarial functions for the  Sr.Vice President /CIO
  • Efficiently and cost effectively schedules and coordinates all travel arrangements                    
  • Coordinates and arranges for internal and external meetings for senior leader, prepares materials for each meeting, and reserves conference rooms accordingly
  • Maintains the schedules and appointments for the Sr Vice President /CIO                                              
  • Receives, sorts, and prioritizes incoming mail and files key documents in designated area     
  • Answers the telephone, screens and processes telephone calls effectively, and performs proper selection for putting calls through
  • Remains accessible and on-call for the executive at all times to perform telephone coverage, greet visitors, and retrieve documents, and assist in daily activities
  • Type correspondence and other documents                                                                         
  • Maintains files and retrieves documents when needed                                                                 
  • Orders lunch as needed                                                             

    Job Qualifications

  • High school diploma required, Associates degree preferred
  • Minimum 5 years secretarial or administrative experience supporting an executive in a corporate setting
  • Highly proficient in Microsoft Office Suite (Excel, Word, PowerPoint & Outlook)
  • Proficient on the Internet, search engines, internet research, and e-mail
  • Must possess excellent communication skills, and the ability to speak effectively before groups of franchisees, or associates within the organization
  • Must have the ability to multi-task
  • Must be a team player, and possess excellent time management skills, organizational skills, and the ability to juggle a variety of tasks and work well under pressure
  • Individual must also possess a high level of professionalism and confidentiality
  • Professional appearance and presentation needed in this highly-visible role
